Board of Directors Meeting Minutes
January 7, 2017

Call To Order
The meeting was called to Order at 9:05 AM
Establishment of a Quorum
The Board of Directors was represented by Sandi Becraft, Cat Clanton, Linda Cowden, and Bennett
Worley. Renea Latham was absent and gave her proxy to Sandi. The management company, Preferred
Association Management Company was represented by Doug Plas and Ellen Lewis.
Homeowners Forum
Some homeowners expressed concerns with the statements being sent out incorrectly by
PAMco and to make sure liens were placed on all of the delinquent accounts
A homeowner thanked Cat Clanton for volunteering to clean the bathrooms at the pool
A homeowner asked if emails could be sent out to homeowners regarding community news in
the event that they do not attend the meetings or read the meeting minutes
Review/Approve November 5, 2016 Meeting Minutes
Doug reviewed the meeting minutes from November 5th with the Board for approval.

Review/Approve Financial Statements from December 31, 2016
Since the December financial statements were only sent to the Board the day before, they were not
approved until the Board has a chance to review them.
Chairperson of the Board Report
Renea gave her report to Sandi to read:
PAMco is doing their best transitioning the management of the POA, please be patient as it
does take time to change over to a new system, especially with our community being so
unique. Please be kind to PAMco, yes there have been some mistakes, but they have done their
best to correct them
There is a Proposal in Horseshoe Bay to build a project on the South-East corner of 71 and
2147. There is a 192-unit apartment complex planned. If you oppose this project, please
contact the Mayor and City Counsel of Horseshoe Bay
Treasurer’s Report
Pam Hutchins is still transitioning into the Treasurer role from Tom Burt. She has no report at this time.
PAMco has given Pam all of the reports she requested.
WCID Report
Jim Maughan was absent from the meeting.
Park/Landscaping Report
Cat Clanton reported that there have been some improvements to the entrance and the park.
Road Commissioner Report
Linda Cowden reported that cool mix has added to the problem with the roads. Pot holes need to be
fixed along Lagoon Loop.
Boat Lockup Commissioner Report
Jerry Pruitt again reported that he would like a list of who owes for leasing spaces. Jerry also reported
that the Ditch needs to be re-done meaning the mud needs to be removed from the drainage.
Architectural Report
Renea Latham reported (through Sandi Becraft) that Linda Cowden’s home is now completed
Kevin Polson’s home on Deer Hollow, Lot 181A is nearing completion
313 Lakeway (Lots 28,29,30, & 33) is preparing to build a boat house, all has been approved by
the Board for the dredging and the seawall
Slanina’s are building a home on 2831 next to the duplexes
The Architectural Committee will communicate to PAMco when plans are approved
New Business
PAMco has returned all the management fees paid to date by Deerhaven POA in the amount of
$5400 as a token of apology for not getting the accounts set up correctly. They asked the Board
if they would like to give them another chance or let them go. The Board all indicated that they
wanted PAMco to stay on. PAMco made a commitment to improve communication with the
community and to do a better job in working with the Commissioners. PAMco will email out to
the community what duties it performs for the POA
Ron Smith asked if the Community could do a volunteer clean-up day at the lake while the
water levels are low to clean up brush and debris in the mud. Ron volunteered to head up a
group of volunteers to get this done before the lake levels go back up. PAMco will put out an
email to residents announcing the date of the clean-up when Ron gives them a date
The Board is allowing a temporary moratorium on banning your boat being parked in view at
your property – while the water levels are low ONLY
The Board agreed to look into getting the Boat Ramp extended while the water levels are low.
PAMco will get bids for the project and try to expedite it. Resident Bill McKean volunteered to
help find someone capable of doing the job quickly
3 Board positions are up for election at the Annual Meeting in June. The nominating committee
will work to present nominees at the next meeting
